All-Inclusive Destination Weddings: How They Really Work

If you are picturing your wedding at an all-inclusive resort, with the ceremony, the reception, and everyone’s rooms in one beautiful place, I am already excited for you. That is the kind of wedding I want to plan with you, and it is the only kind of destination wedding I sell: the resort’s own wedding team runs your day, your guests are all under one roof, and you get to enjoy the week instead of managing it.

I’m Chrissy Samples, a vacation concierge and Certified Sandals Specialist in Caddo Mills, Texas. My focus is Sandals first, with the AIC Hotel Group and Hyatt’s all-inclusive resorts close behind. This is the conversation I have with every couple who calls me about an all-inclusive wedding, so you can start with the same picture I have.

What Does an All-Inclusive Resort Actually Handle?

Here is what makes an all-inclusive wedding so easy to love: one resort takes care of the whole week, from the ceremony to the last breakfast. What that looks like in practice:

• The resort’s wedding team is on staff. They handle the ceremony setup, the officiant, the cake, the toast, and most of the vendors you would otherwise be hiring one at a time.
• Your guests stay where the wedding is, so meals and drinks are already part of everyone’s stay and your reception can be a beautiful private dinner without a catering contract behind it.
• The resort’s menu of options is your menu. Many resorts limit outside vendors, yours may not be the only wedding that day, and your ceremony comes with a day and a time window.
• At Sandals, you marry at the resort you are staying at, with one exception, the over water chapel at Sandals Montego Bay.

None of that is a problem once you know it, and making sure you know it early is something I go over with my couples. We choose the resort for the wedding you want, knowing it is also your home for the week.

What Does an All-Inclusive Wedding Package Include?

Every brand writes its package a little differently, so let me use the one I know best. At Sandals, the complimentary Sweetheart Wedding Package covers the essentials: a wedding planning team and on-site coordination, help with your marriage license paperwork, the ceremony setting with music and chairs, flowers for the two of you, a toast and a cake, a honeymoon dinner, and credits toward extras like photography and a spa visit. I will pull the current package for your dates so you see exactly what is in it.

This is where I want couples to slow down. The photos that advertise a package almost never show the setup that comes with it. The base package is the starting point, and the things that make the day yours, like full photography and video coverage, a private reception dinner, upgraded flowers and lighting, hair and makeup, a DJ or live music, are upgrades. So are service charges, taxes, and gratuities, and usually the marriage license and government fees.

None of that is bad news. It just means the quote and the picture have to match, and making sure they do is one of the first things I do for my couples.

Is the Free Wedding Really Free?

Sandals will really give you the wedding for free, and I love that they do. It is earned with a qualifying stay in a Club or Butler level suite, and the ceremony happens on a weekday, in a morning-to-early-afternoon window, with a small number of guests included. Beaches, the family side of the brand, has its own version. And across the industry, more and more resorts are finding ways to accommodate a Catholic ceremony, sometimes right on the property.

Here is the honest math on “free.” If you were already going to spend a week in a Club or Butler suite and a weekday morning suits you, the ceremony costs you nothing. If your heart is set on a Saturday sunset ceremony with 40 guests, that is a package plus upgrades, and it is a wonderful wedding too. My job is to make sure you know which one you are choosing before you fall in love with it.

Promotions come and go, and some of them are very generous, so when you are ready to look I will tell you exactly what is running for your dates.

What If My Guest List Changes?

I encourage every engaged couple I work with to acknowledge this early: not everyone you invite will be able to travel. Attendance at a destination wedding depends on travel costs, time off, passports, children, and each family’s circumstances, and none of it reflects on you or your guests. So we plan in a way that welcomes everyone and stays flexible.

My advice is to start the wedding itself small and let it grow if it needs to. The room block works the other way. If you choose a contracted group block, it should start large, so there are enough rooms for your party and so you earn the group benefits that come with it. It is far easier to release rooms you do not need than to add rooms once the resort has sold them.

Do We Need a Group Contract?

A group contract is how your guests get a held rate and how the two of you earn group benefits, which can include things like room credits, rate reductions, complimentary cocktail receptions, or upgrades. At Sandals, group benefits generally begin at 10 rooms, but they can sometimes begin at fewer depending on the season or a current promotion, which is exactly why I am here.

This is something I go over carefully with my couples, because a group contract is a commitment. It names how many rooms, for how many nights, by what date, and I read every line of it with you before anyone signs. One detail worth knowing at Sandals: the wedding department and the groups department are separate, with their own contracts, so we are usually working with two teams and two agreements, and I keep them in step.

If the idea of a group contract makes you a little hesitant, that is completely fine. There are other ways to book your guests’ rooms that still earn certain perks while leaving your family and friends free to book with me on their own timeline. We will pick the one that fits how your group actually travels.

Should Our Ceremony Be Legal or Symbolic?

Your ceremony can be legal, recognized by the government of the country you marry in, or symbolic, where you marry legally at home before or after the trip and celebrate on the island without the paperwork. Many resorts offer both. Sandals is the exception, and it is one I go over with couples right away: symbolic ceremonies are available only at Sandals Royal Curaçao, and every other Sandals wedding is a legal ceremony.

If you choose a legal ceremony, this is another place I ask couples to slow down, because every island sets its own rules. Some require you to be on the island a minimum number of days before the ceremony. Some only take license applications on certain days. Processing times differ, and so does how long the certificate takes to reach you afterward. You do not have to navigate any of it alone. The resort’s wedding team and I go through the current requirements for your island with you, well before you travel, so the only thing on your mind that week is each other.

Can Children Attend at an Adults-Only Resort?

Couples often ask about this, and the answer is a happy one more often than you would expect. Resorts have different policies on children attending a wedding at an adults-only property. Sandals, for example, is adults only, but children may be permitted to attend the wedding itself with advance permission from the resort, which I request for you, along with the resort’s restrictions for the day. If the little ones in your family are part of the picture, tell me early and we will plan around it, the same way I plan family travel for everyone from toddlers to grandparents.

What About Hurricane Season?

The Atlantic hurricane season runs June 1 through November 30, with the busiest stretch from mid-August to mid-October. Plenty of couples marry in the summer and fall and have perfect weather, and every resort I work with has a weather policy for the rare time a storm does come.

If your wedding falls in hurricane season, I build travel insurance for your group booking into the pricing rather than offering it as an option. Picture 50 of your family and friends watching a storm roll in the week before your wedding with no refund waiting for any of them. That is exactly what the insurance is there to prevent, so it is simply part of the plan. We will also go over the resort’s own weather policy together before you choose your date.

What Do You Handle, and What Does the Resort Handle?

The resort’s wedding team owns your ceremony. You share your vision with them, and they bring it to life on the day. Some couples work with the resort team alone and do beautifully.

What I offer is everything around that day, the same way I handle every romance trip I plan. I am your concierge and your advocate. I handle the things that could bring you stress, from the room block and the resort contracts to your guests’ transfers and their questions, and I keep the resort staff ready for everyone’s arrival. I try to see problems coming before they reach you, and when something does come up, I take it on. That way you get to enjoy your special moment, and the fun with your family and friends, instead of being bogged down in contracts, logistics, and details. I can be on the calls with the wedding planners, and I will offer to be on site with my brides when they want me there.

Which Resort Is Right for Us?

Six questions I ask before we pick the resort, so a photo does not pick it for us:

• Adults only or family friendly? Kids in the party point us toward Beaches or another family resort, or toward a resort that will welcome them for the ceremony.
• How many of your guests are likely to travel, and does the ceremony spot hold that number comfortably?
• Legal or symbolic, and does the resort offer the one you want?
• Which day and time window comes with the package, and is that the wedding you are picturing?
• How will your guests get there? A direct flight from their home airports makes a real difference.
• What is in the package, what is an upgrade, and what does the weather policy say, in writing?
